The outreach section of the website tracks visits to prospects, including new move-ins, outreach events, door-to-door soul winning, people who visited the church, and people who are referred by church members.  The outreach section also tracks decisions, including visits to the church, salvation decisions, baptisms, etc.  Since decisions and visits are closely related (e.g. a visit should be made to follow up a salvation decision, or a decision should be generated if a salvation decision is made while visiting a new move-in), the outreach section automatically creates decisions from visits and vice-versa (when appropriate).

Search For Visits And Decisions

To search for a visit, click the “Visits” link on the main outreach page.  Enter the search criteria to find the visits (e.g. select “Not Home” in the Visit Result list), then click the “Find Records” button.

To search for a decision, click the “Decisions” link on the main outreach page.  Enter the search criteria to find the decisions (e.g. select “Sunday Morning” in the Service list), then click the “Find Records” button.

If a decision or visit has a related visit or decision respectively, the link to the related visit or decision will be included in the Options column of the search results.

Add Visit

Click the “Visits” link on the main outreach page.  Click the “Add Visit” link on the list page.  Enter the required fields (person visited and visit reason).  All other fields are optional, and may be entered later by editing the visit, i.e. after the visit is assigned or after the visit is completed.  Click the “Submit” button to submit the new visit.

If the person to be visited is not in the directory, click the “Directory” link on the visit list page before attempting to add the visit, and add the person to the directory.  See the instructions in the directory help section for adding people to the directory.

A visit is automatically added for decisions that require a visit (e.g. person visits the church or person gets saved).  Also, a visit is automatically added for completed visits that require follow-up.  The creation date of the follow-up visit will be set in the future (typically 1-3 weeks, depending on the visit result), so future visits do not need to be assigned until the appropriate time.

Edit Existing Visit

To edit an existing visit, first find the visit (see the search instructions).  Click the “Edit” link in the “Options” column of the search results.  Modify the desired information, then click the “Submit” button.

Add Decision

Click the “Decisions” link on the main outreach page.  Click the “Add Decision” link on the list page.  Enter the required fields (date, person making decision, counselor, service, decision type).  All other fields are optional.  Click the “Submit” button to submit the new decision.

If the person making the decision is not in the directory, click the “Directory” link on the decision list page before attempting to add the decision, and add the family and person to the directory.  See the instructions for adding families and adding people to the directory.

A decision is automatically added for visits that result in a decision (e.g. person gets saved as the result of a visit).

Edit Existing Decision

To edit an existing decision, first find the decision (see the search instructions).  Click the “Edit” link in the “Options” column of the search results.  Modify the desired information, then click the “Submit” button.

Assign Visits

To find all unassigned visits, click the “Unassigned Visits” option in the search criteria.  For new move-in visits assign visits with the newest date of creation first.

Print Visit

To print an existing visit, first find the visit (see the search instructions).  Click the “Print” link in the “Options” column of the search results.  Print the page that is created in the web browser.  Click the “Map” or “Directions” link to generate another page with a map of the visit location or directions from the church to the visit location.  Print the map page or directions page in the web browser.

Create Visits for Prospects (in bulk)

The following steps will import prospects into the database in bulk, and generate visits automatically.  This process also summarizes (keeps statistics) and deletes unproductive visits/prospects (e.g. not home) and unvisited prospects prior to importing the new prospects.

 

Scenario: Family moves into the area

  1. Create new move-in visits for the new move-ins received from the mailing list company.
  2. Outreach person visits family.
  3. Outreach person returns visit form.
  4. Enter visit result.

Scenario: Family attends outreach event

  1. Create new visits for the outreach event.
  2. Outreach person visits family.
  3. Outreach person returns visit form.
  4. Enter visit result.

Possible outcomes: Person visits church, person gets saved on visitation, family not home (follow-up visit automatically generated)

Scenario: Person visits church

  1. Person fills out visitor information card.
  2. Enter visitor into directory.  Note: If more than one family member visits, enter each one into the directory, but only generate one decision, so that only one visit will be generated.
  3. Enter visit to church as a decision.
  4. Visit is automatically generated.
  5. Assign the visit.
  6. Print the visit for distribution.
  7. Outreach person visits family.
  8. Outreach person returns visit form.
  9. Enter visit result.

Possible outcomes: Person gets saved at church, person joins church through baptism, person joins church through transfer.

Scenario: Person gets saved at church

  1. Counselor fills out decision card.
  2. Enter decision.
  3. Visit is automatically generated.
  4. Assign the visit.
  5. Print the visit for distribution.
  6. Outreach person visits person.
  7. Outreach person returns visit form.
  8. Enter visit result.

Possible outcomes: Person joins church through baptism

Scenario: Person gets saved on visitation

  1. Counselor fills out decision card and visit result form.
  2. Add visit if visit was door-to-door soul winning.  Enter visit result if visit was assigned (e.g. outreach event follow-up or new move-in).
  3. Decision and follow-up visit are automatically generated.
  4. Assign the follow-up visit.
  5. Print the visit for distribution.
  6. Outreach person visits person.
  7. Outreach person returns visit form.
  8. Enter visit result.
