Directory Help
The website maintains information about each family and each person in the church. Family information includes address, phone number, and deacon assignment. Information about each person includes email address, alternate phone, marital status, membership status, and user rights level.
Each person is assigned to a family, so in order to enter complete information about a person (address, deacon, etc), a family must be created for the person, even if the person is single.

Family joins the church
To search for a family, click the “Families” button on the main directory page. Enter the search criteria to find the family (e.g. enter “Smith” in the Last Name box), then click the “Perform Search” button.
To search for a person, click the “People” button on the main directory page. Enter the search criteria to find the person (e.g. enter “James” in the First Name box), then click the “Perform Search” button.
The person or family you are searching for may have declined to share their personal information. By default, information is not shared, so the person or family you are looking for may not have indicated yet that they choose to share their information. If you believe the person or family you are looking for has chosen to share their information, check the spelling or try looking for a subset of the name for which you are searching (e.g. "Dell" instead of "O'Dell"). If you have sufficient rights to view all personal information (e.g. church secretary), the user’s preference to share information is ignored.
On the main directory page, click the “Add Family” link (this is only possible if you have the necessary rights). Enter the family information, then click the “Submit” button.
Alternatively, on the list of families page, click the “Add” button. This may be useful if you search for a family to edit and find that the family does not exist.

To edit your own family, click the “My Family” link on the main directory page. Under the Options column, click the “Edit” link. Make all desired changes, then click the “Submit” button.
To edit a family other than your own (this is only possible if you have the necessary rights), click the “Families” button on the main directory page. Enter the search criteria to find the family to be edited (e.g. enter “Smith” in the Last Name box), then click the “Perform Search” button. Under the Options column, click the “Edit” link corresponding to the family to be edited. Make all desired changes, then click the “Submit” button.
A family report is a single page summary of all of the information about a family, including usernames and passwords for all family members. Family reports may only be accessed by users with the appropriate rights to view confidential information. Click the “Families” button on the main directory page, enter the search criteria to find the family (e.g. enter “Smith” in the Last Name box), then click the “Perform Search” button. Under the Options column, click the “Family Report” link corresponding to the family to be printed. Use the web browsers printing capability to change the layout to landscape and then to print the family report (in Internet Explorer, File->Page Setup then File->Print)
Mass mailings can be created using the mail merge feature in Microsoft Word. Excel spreadsheets can be downloaded from the website with the information needed to provide the mail merge to Word. See the reports section of this document for more details regarding downloading Excel spreadsheets.

In order to generate a map for a person’s address, the street address of the apartment complex must be entered rather than the name of the apartment complex. In order to find the street address for an apartment complex, go to http://www.bigyellow.com/, enter the apartment complex name as the Business Name, enter the city (if known) and state, and click the Find button.
